Job Summary
We are looking for an experienced Administrative Specialist to provide administrative support human resources management function , administration, compliance, and additional responsibilities. As an Administrative Specialist, you will collaborate with the hiring manager and HR to ensure HR procedures are implemented. You will also help manage faculty evaluations, promotions, and tenure processes, and handling several administrative tasks related to HR systems and compliance. Reports directly to the CIT Office Manager.

Responsibilities*
Human Resources Management
- Meet with deans, directors, faculty, and administrative staff to offer counsel in HR activities.
- Create and maintain dynamic teaching loads (for all CIT faculty) and collaborate with Business Admin each semester to translate data into budget and reports
- Prepare and distribute LEO official letters, in concurrence with Union contract regulations and deadlines
- Manage LEO evaluation and review process
- Manage Faculty evaluation, promotion and tenure process
- Collaborate with Dean and Division Directors to improve process/policy
- Be an liaison with HR and CIT, fielding and responding to emergency HR requests
- Consult/respond to broad range of HR related questions in partnership with HR.
- Prepare, process and manage all CIT HR system input, to support Business Admin
- Prepare, process and manage all CIT Faculty/Staff job postings in e-recruit and Interfolio
Budget Administration
- In association with Business Admin, prepare multiple reports/data related to CIT faculty salaries at the request of dean, associate deans, directors, and HR
- Collaborate with CIT Budget Admin in matters affecting budget
- Enter and maintain CIT faculty & staff records within ImageNow.
- Process LEO cancellation fees
Administration
- Ensure CIT adherence to Standard Practice Guidelines in the management of Human Resources
- Manage appropriate internal controls as listed in CIT policies and procedure documents
- Develop and implement CIT HR related administrative procedures; initiate improvements
- Maintain working knowledge of LEO union contract, providing consult
- Work directly with and provide some functional training of departmental staff in HR matters, course scheduling and data retrievals for LEO reviews. Provide feedback to their administrative supervisor.
Additional Responsibilities
- Front desk coverage CIT Dean's Office
- Participate in creating a professional and welcoming atmosphere while providing excellent customer service
- Fill in for admin support for meetings (unit meetings, division meetings, Executive Council meetings)
- Create shared files for CIT LEO faculty for review purposes.
Required Qualifications*
- Bachelor's degree or equivalent combination of relevant education and experience in a field related to the job responsibilities.
- 3 or more years of progressive administrative support experience.
- Demonstrated commitment to Diversity, Equity, and Inclusion.
Work Schedule
Hybrid:
A hybrid work schedule (some days on campus and some days working remotely) is available for this position at this time. However, this is subject to change based on the responsibilities of the position and the needs of the department.
